As Firms Continue to Downsize Demand for Document Storage Increases

England 08/03/2013 – Even in today’s digital world firms have to store a lot of paperwork, but many no longer have the space to do so

In the UK, starting a business is relatively easy. The government provides clear guidelines and there are very few costs involved in setting up a business. This is one of the main reasons the British set up more small businesses than their continental cousins do. There is a lot less red tape. However, there are still a few, rules and regulations that many entrepreneurs are often not aware of when they set up their business. A good example of this is the requirement to keep paper copies of certain documents for several years. For many firms this requirement presents them with a problem. Unsurprisingly, demand for document storage from archive-storage.com and similar services is quite high. The law requires all documents relating to staff, health & safety and VAT to be stored for six years. Some documents have to be stored for 20 years. What needs to be kept varies from sector to sector, but the list is long, so documents end up taking up a lot of space.

Empty space is a luxury firms can no longer afford

Most firms are quite tight on space. They have had to downsize and trim their operations to keep their overheads as low as possible. In the current economic climate, where competition is strong, profit margins are extremely tight. Every penny really does count. Firms that did not worry too much about operating with a dozen empty desks or a couple of empty aisles in their warehouse have thought again. They have rationalised the space they rent to make sure they are not paying for what is effectively dead space. New firms have set up their operations to be as lean as possible from the start, renting the minimum of space possible. They know that there is commercial space, of all kinds, empty and ready for anyone who wants it. No firm wants expensive space underutilised because it is being used to store documents. Many are turning to Clarks Archive Storage who will store documents securely. For most firms the fees are lower than what it cost them to store these documents on their own premises.
